How to Use Agentforce for Presales

Overview: The Agentforce for Presales agent is your intelligent assistant, integrated seamlessly into Salesforce. It helps you generate quotes, create scopes of work, and deliver preliminary estimates—all without leaving the platform.

Step 1: Access the Agent

Begin by logging into your Salesforce account as usual. Navigate to the Salesforce Opportunity record you need help with. This provides Agentforce with the context it needs to assist you.

Once the opportunity is open, locate the Agentforce icon in the top header and click it. This launches the chat window, ready for your commands.

Tip: The more specific and detailed your instructions to the agent, the more accurate and helpful its response will be. Think of it as providing clear context to your intelligent assistant.

Step 2: Tell the Agent What You Need

With the chat window open, the agent is already aware of the opportunity you're working on. Now provide specific details about what you need to accomplish.

Example effective prompts:

  1. "I have notes from our discovery call. Can you summarize the key points and update the opportunity description with a structured summary?"
  2. "The customer wants us to implement Agentforce for Automotive in Salesforce."

Step 3: Ask the Agent to Suggest Scopes

A common task is to have the agent suggest potential scopes of work based on the opportunity details. Simply type your request in the chat window.

Example prompt:
"Based on the details in this opportunity, please suggest a list of potential scopes of work we can propose to the customer."

Agentforce will analyze the data within the opportunity record—including description and notes—and generate a relevant list of scopes for your review. This provides a powerful starting point, saving you time drafting options from scratch.

Step 4: Refine the Suggested Scope

The initial list is a great start. The real power of Agentforce lies in its ability to quickly refine and customize output, adding details unique to your organization or the customer's needs.

Example refinement prompt:
"Please add the following point to the suggested scopes: 'Provide 2 weeks of post-go-live support'."

The agent will generate an updated list that seamlessly integrates your new point. This iterative process helps you tailor the AI's output to meet your exact requirements.

Step 5: Create a Quote on the Opportunity

With a good starting point for scopes, it's time to create the official quote. Agentforce can perform actions within Salesforce, creating a new record when you request it.

Example command:
"Please create a new quote on this opportunity."

Agentforce will create a new quote record within the opportunity. The agent confirms when complete and provides a direct link to the quote, ready for the next step.

Step 6: Add the Scopes to the Quote

With the new quote created, populate it with the scopes you previously generated and refined. This demonstrates Agentforce's ability to move AI-generated content directly into Salesforce records, eliminating manual data entry.

Example command:
"Please add the suggested scopes to the newly created quote."

Agentforce performs this action, taking scopes from chat history and adding them to the quote record. This completes the workflow, turning conversational ideas into professional, actionable documents within Salesforce.

Step 7: Confirm the Scopes

After adding scopes to the quote, verify that information has been saved correctly. This demonstrates Agentforce's ability to retrieve data directly from your Salesforce records.

Example request:
"Please list the active scopes on the quote."

The agent queries the Salesforce record and responds with the scopes you added. This confirms the previous action was successful and information is correctly stored.

Smart Assignment: The scopes weren't added as simple text. Agentforce automatically populated them with effort hours and assigned specific roles from your organization's rate cards. The agent analyzes scope names and matches them to role descriptions in your Salesforce PSC rate card records. For best results, ensure the description field on each rate card is fully populated and current.

Step 8: Get a Detailed Capacity Breakdown

You now have scopes with estimated effort hours. For internal planning and resource allocation, you need a detailed breakdown aggregating effort hours across all roles.

Example command:
"What is the capacity needed?"

Agentforce responds with a summary itemizing effort hours for each role (e.g., Senior Consultant, Project Manager) and provides total capacity needed. This information is crucial for project forecasting and communicating with delivery teams.

Step 9: Apply a Risk Buffer

With total hours calculated, add a contingency to account for potential risks or unforeseen challenges. Agentforce instantly handles this calculation.

Example command:
"Please apply a 25% risk buffer."

The agent takes the previous total and calculates the adjusted number, providing a more accurate and robust estimate for your rough order of magnitude.

Step 10: Apply a Blended Rate

With final effort hours in hand, get a rough financial estimate. Using a blended rate is a quick and effective method—it averages different roles and costs into a single, optimized figure.

Example command:
"Please apply a blended rate."

Agentforce retrieves your available Staffing Rules that have a blended rate defined. You'll be prompted to select the most suitable rule from the list (e.g., a blended rate specific to a region or team).

Step 11: Get the Final Rough Estimate

You've completed all necessary calculations: total hours, risk buffer applied, and blended rate selected. The final step combines this information into a definitive rough estimate.

Example request:
"Get me a rough estimate."

Agentforce performs the final calculation and presents a conclusive rough order of magnitude (ROM) estimate for the project's cost.
