Can we receive an email alert each time a signer opens a document, and how does DRTE track document views?
Published on October 3, 2026 DRTE
DRTE tracks document access using E Signature Disclosure child records created during portal access, paired with summary tracking fields on the parent E-Signature Request record.
1. How DRTE Tracks Each Document View
- Mandatory Disclosure Modal: When a recipient opens the link, the document does not display until they click "I acknowledge, please proceed" on the consent screen.
- Disclosure Record Creation: Accepting the disclosure automatically creates a new E Signature Disclosure record linked to that signing request.
- Parent Summary Fields: DRTE simultaneously updates summary fields on the parent E-Signature Request record:
- Acknowledged and Viewed?: A counter reflecting total access events.
- First View Date and Time & Last View Date and Time: Exact timestamps of access.
2. How to Set Up Real-Time Email Alerts
To receive an instant email notification every time a document is opened:
- Create a Record-Triggered Flow in Salesforce on the E Signature Disclosure object.
- Set the trigger condition to "When a record is created".
- Add a Send Email action to notify the document sender or account owner immediately.
