How to Bulk Load Scopes and Efforts into a QuoteX Scope Library
Yes, you can bulk load scopes. This guide explains how to use the sample template workbook (one sheet per object, following the QuoteX data model) to load a Scope Library, its Scopes and role-based Efforts without keying them in one by one.
The Question
Question: We are building out our Scope Libraries in QuoteX and have about 150 standard scopes with role-based hours in a spreadsheet. Is there a template or recommended way to bulk load scopes into a Scope Library, along with their efforts? We would rather not key them in one by one.
The Answer: Template Workbook
Download the template here: Scope Library bulk load template
| Sheet | Object | What it holds |
| Scope_Library | psce__PSC_Scope_Library__c | The container. Load it first and keep it in Draft until you have reviewed the content. Only Active libraries can be selected in templates. |
| Scope | psce__PSC_Scope__c | One row per scope. Library scopes must use the Template record type and be linked through psce__Scope_Library__c. Do not populate psce__Estimate__c, because that is for scopes on a quote. |
| Effort | psce__PSC_Effort__c | One row per scope, role and phase, with hours. Roles must match your Rate Card, and each row needs a Phase. |
How It Works
- Load the library, then paste the returned Salesforce Id into the sheet.
- Load the scopes. The Scope sheet picks up the library Id and Template record type automatically. Load it and paste back the scope Ids.
- Load the efforts last. The Effort sheet looks up each Scope Id, and a check column flags bad roles, hours or phases.
Before You Load: Custom Setting
Important: As shown in the screenshot below, turn on the custom setting to Stop Triggers on the Scope Library and Scope objects before the load, and turn it off again after.
Custom setting with Stop Triggers turned on for Scope Library and Scope objects.
Tips Before You Load
- Enter hours at the Medium complexity baseline. Handle variation through Complexity, the scope Multiplier, or the optional Low/High % on efforts.
- Pick the Category first (Change Enablement, Integration, Data Migration or Strategy). Direction, ETL Type and Functional Area follow from it.
- Remove near-duplicates by meaning, not just by name.
- Try a small batch of 5 to 10 scopes in a sandbox first and confirm the hours roll up as expected.
Caution: Deleting is harder to unwind than archiving, so retire scopes by clearing Active? rather than deleting them.
