QuoteX Health Check: User Guide

In short: The QuoteX Health Check is a one-page report that looks over your QuoteX setup and tells you what is working, what needs a look, and what could stop your team from building quotes. It only reads your information. It never changes anything.

What Is the Health Check?

QuoteX works best when a few things are in place: people have access, your rates are up to date, your SOW templates are ready, and your quotes are priced properly. The Health Check goes through all of these and gives each one a clear result, with a tip on how to fix it. Use it:

  1. After you first set up QuoteX
  2. Before you roll QuoteX out to more users
  3. When something doesn't look right on a quote
  4. Every so often, to keep your setup tidy

Prerequisites

  1. QuoteX v1.85 or higher is installed in your org.
  2. You are a user with System Administrator permissions, so you can install the extension.
  3. You have the installation link, which you can get from CodeyLabs.

How to Install It

Step 1. Open the installation link you received from CodeyLabs and choose Install for All Users.

Installation screen: choose Install for All Users.

Installation progress and confirmation.

Step 2. Make sure the PSC Admin permission set is assigned to the user. Then search for the QuoteX Health Check tab in the App Launcher.

How to Use It

  1. Open the page that has the QuoteX Health Check.
  2. Wait a moment. The checks run on their own and each card fills in as its result arrives. A progress bar shows how far along it is.
  3. Review the score and cards. Start with anything marked red or orange.
  4. Fix and confirm. Follow the How to fix tip on a card, make the change in QuoteX, then click Re-run checks.

Reading Your Results

ResultWhat it means for you
PassedAll good. Nothing to do.
WarningWorth a look. QuoteX will still work, but something may be off.
FailedNeeds fixing. A feature is likely to be affected.
InfoGood to know. No action is needed.
CheckingThis check is still running.

Blockers: Some failed checks carry a red Blocker tag. These are the most important ones, because they can stop users from quoting properly. A red banner on the left tells you how many there are. Fix these first.

Your Health Score

The score shows the share of checks that passed. Info results don't count toward it.

Finding Your Way Around

  1. Left side: your score, the number of passed, warning and failed checks, and a list of areas. Click an area, such as Rate Cards, to see only those checks.
  2. Right side: the check cards, with the most urgent first.
  3. All / Needs attention: switch to Needs attention to hide everything that passed.
  4. Re-run checks: run everything again after you've made a change.

What Each Check Looks At

There are 22 checks, grouped into seven areas.

1. Access

  1. QuoteX permission sets assigned (Blocker) - Checks that people have been given access to QuoteX. If no one has, the app won't show up for your team. If it fails: Ask your Salesforce admin to assign the QuoteX permission sets to your users.

2. Setup

  1. PSC System Settings record exists (Blocker) - Checks that your QuoteX settings have been saved. A warning means more than one settings record exists, which can be normal if some users have their own settings. If it fails: Open the PSC Setup page and save your settings.
  2. Summary sync status configured (Blocker) - Checks that you've chosen which quote status updates the summary figures on a quote. If blank, quote totals won't fill in. If it fails: On the PSC Setup page, choose the Quote Request status that should update the summary.
  3. Fixed-fee and ASM settings populated - Checks that your fixed-fee buffer, fixed-fee cost uplift and ASM threshold have values. If it warns: Review these values on the PSC Setup page.

3. Rate Cards

Rate cards hold the rates you charge and what a resource costs you. These checks make sure your pricing is complete and consistent.

  1. Active rate cards exist today (Blocker) - At least one rate card must be in date today. Without one, no resources can be added to a timeline. If it fails: Create a rate card, or extend the dates on an existing one.
  2. Rate card exists for each quote currency (Blocker) - Every currency used on your quotes needs a rate card, or the quote can't be priced. If it fails: Add rate cards in the missing currency. If you have no quotes yet, you'll see Info instead.
  3. Rate cards have bill and cost rates - Flags rate cards missing a bill rate or a cost rate. If it warns: Fill in the missing rates.
  4. Expired rate cards - Tells you how many rate cards are past their end date. For information only.
  5. No duplicate rate cards - Two cards are duplicates when they share the same role, level, region, practice, account and currency, because QuoteX can't tell which one to use. If it warns: Delete the extra cards, or give the older one an end date.
  6. Rate card margin meets the ASM threshold - Compares the margin on each current rate card with the ASM threshold you set. A card under the threshold will pull quotes below your target margin. If it warns: Raise the bill rate, or review the cost rate. If no threshold is set, you'll see Info.
  7. Rate cards used in timelines in the last 6 months (Info only) - Lists current rate cards not used in any timeline for six months. An idle rate isn't necessarily wrong; a customer-specific rate is a good example.
  8. Billable external resources have a cost rate - Finds external (customer) resources that are billable but have no cost rate. Without a cost, your total cost and margin look better than they really are. The card lists affected quotes. If it warns: Open each quote listed and enter a cost rate for those resources.

Billable external resources check listing affected quotes.

4. Documents

These checks cover the templates that build your Statement of Work (SOW).

  1. Active SOW document template exists (Blocker) - Without a template, Generate SOW has nothing to offer. If it fails: Create a document template and make sure it isn't marked deactivated.
  2. Active templates have active sections - A template with no active sections would produce an empty document. If it fails: Add sections, or activate the ones that are switched off.
  3. Table sections have query and config - Every table in a template needs the information to build itself. If it fails: Complete the missing query or table configuration on the sections listed.
  4. Table Config and Style JSON are valid - Checks that the settings behind your SOW tables are in the right format. A typo, such as a missing bracket, can stop a table from appearing. If it fails: Correct the entries on the sections listed, or ask the person who set up your templates.

5. Libraries

Libraries are the ready-made building blocks that speed up scoping.

  1. Active scope library exists and Active timeline library exists - Without them, your team builds scopes and timelines from scratch. If it warns: Create and activate a library.
  2. Active timeline libraries are usable - Flags active timeline libraries with no time periods or no hours. If it warns: Finish setting them up, or archive the ones you don't need.

6. Resourcing

  1. Active resourcing plan template exists - You only need this if you use derived efforts. If it warns and you don't use derived efforts: You can ignore it.

7. Scoping

  1. Scope LOE is close to its library template (Info only) - Compares hours on scopes in your quotes with the library scope they started from. If a quote's hours are 50% or more higher or lower, it's listed. If the same library scope keeps showing up, its standard hours may need updating.
  2. Effort roles have a rate card in the quote currency - Every role and level used in a quote needs a current rate card in that quote's currency. If it warns: Add a current rate card for each role, level and currency listed.

Effort roles check listing roles missing a rate card.

Common Questions

Will the Health Check change my data? No. It only reads information.

Why does a card say "Check could not run"? You may not have access to some of the information the check needs. Ask your Salesforce admin to check your access, then re-run.

I fixed something, but the card hasn't changed. Click Re-run checks. The page doesn't update on its own after the first run.

Do I need to get to 100%? Not necessarily. Some warnings are fine for how your team works, for example if you don't use derived efforts or some rate cards are idle on purpose. Focus on Blockers and Failed results first.

How often should I run it? After setup, before onboarding new users, and any time a quote looks wrong.

The page looks out of date after an update. Do a hard refresh of your browser.
