Feedback360 Health Check: User Guide
Audience: Salesforce admins who set up and maintain Feedback360.
What it is: a single page that checks your Feedback360 setup, email configuration, reminders and survey data, and tells you what needs fixing.
1. Why Use It
- Find setup mistakes before users hit them, such as invitation emails that cannot send or public surveys that will not open.
- Confirm everything is ready after an install, a sandbox refresh or a deployment.
- Spot surveys and invitations that are stuck or badly configured.
2. Before You Begin
- You have the Survey Administrator User permission set. Ask your Salesforce admin to assign it, because without it you will not see the tab or the data and Customize Application permission.
- For the best results, also have read access to Survey, Survey Invitation and Survey Settings.
3. Opening the Page
- Click the App Launcher (nine dots) and search for Feedback360 app or Feedback360 Health Check.
- Open the tab. The checks run automatically and a spinner shows while they load.
- Click Refresh (top right) at any time to run them again, for example after fixing something.
Cannot find the tab? Ask your admin to add it to the Feedback360 app or to give you the permission set.
4. Reading the Page
Summary bar
- Health score: the percentage of automatic checks that passed. Manual and Unknown checks are not counted. The box is green with no warnings or failures, amber with warnings only, and red if any check failed.
- Tiles: the number of checks in each status.
- Last run: when the checks were last run. Manual items cannot be read automatically and need a quick visual check.
Statuses
| Status | Meaning | What to do |
| Pass | The check is fine. | Nothing. |
| Warning | Something may cause problems, or a feature is not set up yet. | Review it, and fix it if you use that feature. |
| Fail | Something is broken or missing and will stop a feature from working. | Fix it first. Use the Open link. |
| Manual | The page cannot read this setting automatically. | Open the link and confirm it yourself. |
| Unknown | The check could not run, usually because of missing access or a missing field. | Check your permissions. If it persists, tell your admin or support. |
Each row shows its name, a status badge, a message that explains the result, and an Open link. The link goes to the Salesforce page where you can fix the problem. It only appears when the check did not pass.
5. The Checks
Group 1: Installation and access
| Check | What it looks for | If it fails |
| Survey Administrator permission set assigned | At least one active user has the “Survey Administrator User” permission set. | Assign the permission set to the people who create and manage surveys. |
| Guest permission set | “F360 Survey Guest User” exists and is assigned. This is a Fail if you have public surveys, otherwise a Warning. | Assign it to the guest user of your survey site. |
| Package license is active (Manual) | Feedback360 license shows Active. | Check Setup → Installed Packages. |
| Survey Advanced Record Page is Org Default (Manual) | The record page is activated for Desktop and Phone. | Activate it in Lightning App Builder. |
Group 2: Email and invitations
| Check | What it looks for | If it fails |
| Survey Settings record exists | An organization-level Survey Settings record is present. | Create one in Setup → Custom Settings → Survey Settings. |
| Invitation email template | The saved template Id is a real, valid email template. | Copy the correct Id from the template and save it in Survey Settings. |
| Org-wide email address | An address is saved and exists as an org-wide address. It also reminds you to confirm it is verified. | Add or verify the address under Setup → Organization-Wide Addresses. |
| Invitations without an email address | Unsent invitations that have no email (no Contact or User email). | Add an email to the Contact or User, or remove the invitation. |
| Invitations scheduled but not sent | Invitations scheduled before today that are still unsent. | Send them, or check why the send failed. |
Group 3: Public and guest access
| Check | What it looks for | If it fails |
| Survey site base URL | The base URL is set in Survey Settings. Fail if you have public surveys. | Enter the site URL in Survey Settings. |
| Public surveys in use | How many active surveys allow guest access. For information only. | No action. |
| Experience site published with guest access (Manual) | Your survey site is live with guest access on. | Check the site under Digital Experiences. |
| Guest sharing rule on Survey (Manual) | A read-only guest sharing rule exists. | Check Sharing Settings. |
| Survey default is Private (Manual) | The organization-wide default for Survey is Private. | Check Sharing Settings. |
Group 4: Reminders
| Check | What it looks for | If it fails |
| Reminder flow is active | The “Feedback360 Survey Reminders” flow is active. Fail if any survey has reminders enabled. | Activate the flow in Setup → Flows. |
| Reminder email template | A valid reminder template Id is saved. Fail if any survey has reminders enabled. | Save the correct Id in Survey Settings. |
| Reminders overdue by 2+ days | Invitations that have been due a reminder for 2 or more days. | The flow may not be running or the email may have failed. Check the flow. |
| Reminders enabled with no interval or limit | Surveys that rely on the default 3-day interval and 3-reminder limit. | Set the values on the survey if you want something different. |
Group 5: Data quality
| Check | What it looks for | If it fails |
| Active surveys with no questions | Active surveys that have zero questions. | Add questions or deactivate the survey. |
| Active surveys past their end date | Active surveys whose end date has passed. | Deactivate them or extend the end date. |
| Time-bound tests without a duration | Time-bound surveys with no duration. | Set the duration on the survey. |
| Time-bound tests without a minimum score | Time-bound surveys with no minimum score. | Set the minimum score on the survey. |
6. Suggested Routine
- After any install or deployment: open the page and clear all Fails.
- After a sandbox refresh: check the email template Ids and the org-wide address. Template Ids change between orgs.
- Before launching a public survey: run it and walk through the Group 3 manual items.
- Monthly: a quick look at Group 4 and Group 5 to catch stuck reminders and stale surveys.
7. Troubleshooting
| Problem | Likely cause | What to do |
| The page shows an error message | Missing access to the Apex class or the data | Ask your admin for the Feedback360 Health Check permission set. |
| Many rows show Unknown | No access to a field or object, or a field is missing | Check your access to Survey, Survey Invitation and Survey Settings. |
| A Fail is still there after fixing it | The page shows the last run | Click Refresh. |
| The permission set check fails but users have it | The check looks for the exact label “Survey Administrator User” | Tell your admin if the label was changed. |
| The Open link goes to a general page | It points to the right Setup area, not the exact record | Use the message on the row to find the right item. |
8. Good to Know
Read-only: the page does not change any data or settings.
Manual items need a visual check, because Salesforce does not let the page read those settings.
A 100% score only covers the automatic checks. Always confirm the manual items too.
Current org only: run it separately in each sandbox and in production.
