How To Use ?


The Agentforce for Presales agent is designed to be an employee's intelligent assistant, integrated seamlessly into your Salesforce environment.


To access it, first, log in to your Salesforce account as you normally would. 


Before you begin, you must first navigate to the Salesforce opportunity you need help with. This action automatically provides the Agentforce for Presales agent with the necessary context, enabling it to assist you with tasks like generating quotes, creating scopes of work, and more, all related to that specific opportunity.


Once you have the desired opportunity record open, locate the Agentforce icon in the top header and click it. This will launch the chat window, ready for your commands.



Step 2: Tell the Agent What You Need

With the chat window open, the agent is already aware of the opportunity you're working on. Now it's time to provide the specific details it needs to get started.


In the chat, simply explain what you need to accomplish. Think of the agent as your intelligent assistant - the more specific and detailed your instructions, the more accurate and helpful its response will be.


Here are a few examples of effective prompts:


"I've some notes from our discovery call. Can you summarize the key points and update the opportunity description with a structured summary?"

 

"The customer want us to implement Agentforce for Automotive in Salesforce"






Step 2: Ask the Agent to Suggest Scopes

Now that the chat window is open, let's use a specific example. A common task is to have the agent suggest potential scopes of work based on the opportunity details.

To do this, simply type your request in the chat window. For this example, you would use a prompt like this:

"Based on the details in this opportunity, please suggest a list of potential scopes of work we can propose to the customer."

After you send this message, the Agentforce for Presales will analyze the data within the opportunity record- including the description & notes, and generate a list of relevant scopes for you to review. This list provides a powerful starting point, saving you the time of drafting options from scratch.





Step 3: Refine the Suggested Scope

The initial list from the agent is a great start, but the real power of Agentforce lies in its ability to quickly refine and customize its output. This allows you to add specific details that are unique to your organization's processes or the customer's needs.


To modify the suggested scopes, simply send a new instruction in the chat. For example, to add a standard support period, you would type:

"Please add the following point to the suggested scopes: 'Provide 2 weeks of post-go-live support'."




The agent will then generate a new, updated list of scopes that seamlessly integrates your new point. This iterative process helps you quickly tailor the AI's output to meet your exact requirements.





Step 4: Create a Quote on the Opportunity

With a good starting point for the scopes, it’s time to create the official quote. Agentforce can do more than just generate text; it can also perform actions within Salesforce. Creating a quote is a necessary step before you can link the finalized scope of work to the opportunity.

Simply ask the agent to create the new record by typing a clear command in the chat window. A good example is:

"Please create a new quote on this opportunity."

Agentforce will then perform this action for you, creating a new quote record within the Salesforce opportunity. The agent will confirm when the quote is created and may even provide a direct link to it, ready for the next step.




Step 5: Add the Scopes to the Quote

With the new quote successfully created, it's time to populate it with the scopes you previously generated and refined. This step demonstrates Agentforce’s ability to move AI-generated content directly into a Salesforce record, saving you from manual data entry.


In the chat window, simply tell the agent what you want to do. A clear command would be:

"Please add the suggested scopes to the newly created quote."

Agentforce will perform this action for you, taking the scopes from the chat history and adding them directly to the quote record. This completes the workflow, turning your conversational ideas into a professional, actionable document within Salesforce.




Step 6: Confirm the Scopes

After adding the scopes to the quote, it's a good practice to quickly verify that the information has been saved correctly. This step also demonstrates Agentforce's ability to retrieve data directly from your Salesforce records.

In the chat window, send a simple request to the agent:

"Please list the active scopes on the quote."

The agent will then query the Salesforce record and respond with a list of the scopes you just added. This serves as a quick confirmation that the previous action was successful and that the information is now correctly stored and ready for the next steps in your sales process.




Notice that the scopes weren't just added as simple text. In the background, Agentforce automatically populated them with effort hours and assigned specific roles from your organization's rate cards.


The agent makes this decision by analyzing the name of the scope and matching it to the descriptions of the roles in your Salesforce psc rate card records. To ensure the most accurate and relevant assignments, it's a best practice to make sure the description field for each psc rate card record is fully populated and up-to-date.



Step 7: Get a Detailed Capacity Breakdown

You now have a list of scopes with estimated effort hours, but for internal planning and resource allocation, you need a more detailed breakdown. Agentforce can aggregate the effort hours across all roles and present them in a clear, easy-to-read summary.

Simply ask the agent to provide this information by typing in a direct command:

"What is the capacity needed?"

The agent will then respond with a summary that itemizes the effort hours required for each role (e.g., Senior Consultant, Project Manager) and provides a total capacity needed for the entire scope. This information is crucial for project forecasting and for communicating with your delivery teams.



Step 8: Apply a Risk Buffer


Now that you have your estimated total hours, you'll likely want to add a contingency to account for potential risks or unforeseen challenges. Instead of opening a spreadsheet or a calculator, you can have Agentforce do this for you instantly.

In the chat window, simply tell the agent to apply the buffer you need:

"Please apply a 25% risk buffer."

The agent will take the previous total and calculate the new adjusted number, providing you with a more accurate and robust estimate for your rough order of magnitude.






Step 9: Apply a Blended Rate

With the final effort hours in hand, the next step is to get a rough financial estimate. For this initial, high-level calculation, using a blended rate is a quick and effective method. This rate averages out different roles and costs to provide a single, optimized figure.


To do this, ask the agent to apply a blended rate by typing:


"Please apply a blended rate."



Agentforce will then retrieve a list of your available Staffing Rules that have a blended rate defined. You'll be prompted to select the most suitable rule from the list (for example, a blended rate specific to a certain region or team). 



Step 10: Get the Final Rough Estimate

You've now done all the necessary calculations: you have the total hours, the risk buffer applied, and a blended rate selected. The final step is to combine all this information to get a definitive rough estimate for the project.

In the chat, simply ask for the final number:

"Get me a rough estimate."

Agentforce will instantly perform the final calculation and present you with a conclusive rough order of magnitude (ROM) estimate for the project's cost.
