Refresh Rate Card - Behaviour
1. The Challenge: Managing Price Increases
As costs evolve, your team likely revises its PSC Rate Cards annually to increase list prices in line with delivery costs. Once these new rates are announced, it is critical that Sales Engineers can easily apply these latest figures to their active proposals to protect the company's sales margin.
2. How It Works: The "Refresh" Workflow
Administrative Setup
To initiate the update process, a System Administrator first updates the backend PSC Rate Cards with the new valid dates and pricing.
Within the PSC Setup Tab, the administrator enables the "Refresh Ratecards" capability, signaling to the system that active timelines are eligible for pricing updates.
The User Experience
Sales engineers can simply click the newly displayed 'Refresh Ratecard' button. By clicking the Refresh Ratecard button, the system automatically fetches the most recent List Price for each resource assigned on the timeline and apply it on timeline resource.
3. Intelligent Data Preservation
QuoteX is built to respect the work your sales team has already done. The refresh logic follows two core principles:
- Updates the Baseline: The List Price is updated to the newest corporate standard.
- Preserves Negotiated Rates: If a sales representative has already manually adjusted the Sell Rate (or Adjusted Rate) to accommodate a specific client negotiation, QuoteX will preserve that manual entry rather than overwriting it with the new default.

4. Real-Time Validation & Compliance
After the refresh is complete, the system immediately applies it on the resource list price and adjusted rate.
Conclusion
With the Refresh Ratecard feature, QuoteX bids farewell to the "cells of uncertainty" found in manual spreadsheets. Your team can move forward with confidence, knowing their quotes are always backed by the most accurate, up-to-date financial data while maintaining the flexibility needed to close the deal.
