Staffing Plan Adjudication
This add-on is provided at no additional cost to all active QuoteX Subscribers.
Introduction
The Staffing Plan Adjudication feature in QuoteX provides a systematic approach to ensuring that staffing plans adhere to predefined organizational guidelines. By incorporating minimum percentage prerequisites for specific roles within project timelines, this feature helps maintain consistency, quality, and compliance in project staffing.
Key Benefits
- Ensures Compliance: Verifies that project timelines meet minimum staffing percentage criteria for various roles, ensuring organizational standards are upheld.
- Streamlines Review Process: Delivery reviewers can quickly assess whether staffing guidelines are met, reducing the time needed for manual checks.
- Supports Sales Engineers: Enables Sales Engineers to adhere to organizational staffing standards while creating project timelines, ensuring that proposals meet internal guidelines from the outset.
- Improves Quality Assurance: By adhering to staffing guidelines, projects are better equipped to deliver quality outcomes, reducing the risk of under-resourced initiatives.

4. View Staffing Rule Reviews Module:
Access the Reviews Module for the existing Quote.
- Staffing Rules dropdown contains the list of staffing rules defined in Pre Sales SME app for timeline specific currency.
- Max Hours Per Resource Per Timeline Period, is the hours dependent on the frequency of timeline. For example, if its weekly - provide 40 hrs, if its monthly - provide 160 hrs, similarly 480 and 1920 for quarterly and yearly frequency.
How It Works
1. Setting Up Staffing Rules:
- Staffing Rules are established to define the minimum percentage of time that specific roles should be assigned within a project timeline for defined period. These rules are configured by the organization based on project type, complexity, and role requirements.
- Examples of Staffing Rules include requiring that at Senior Developer must be staffed for at least 20% of a project's timeline, or Quality Assurance Lead for at least 15%.
2. Using Staffing Plan Adjudication During Review:
- When reviewing a project timeline, delivery reviewers can utilize the Staffing Plan Adjudication/Review feature on timeline to check if the proposed timeline meets the established Staffing Rules.
- The system will automatically highlight areas with RED where the staffing levels do not meet the minimum percentage prerequisites, allowing reviewers to make necessary adjustments or recommendations.
3. Creating Timelines with Staffing Guidelines:
- Sales Engineers can access the Staffing Plan Adjudication/Review feature while creating project timelines. This feature provides real-time feedback on whether the current staffing allocation meets the organization's minimum percentage requirements.
- If a timeline does not meet the criteria, Sales Engineers will notice the highlights to adjust staffing levels accordingly.
Best Practices
- Regularly Review and Update Staffing Rules: As projects and organizational needs evolve, it's important to update the Staffing Rules to reflect current best practices and staffing strategies.
- Provide Training: Ensure that Delivery Reviewers and Sales Engineers are trained on using the Staffing Plan Adjudication feature effectively.
