QuoteX Implementation & Configuration Plan
Here is the official QuoteX Implementation & Configuration Plan to follow after package installation. This step-by-step roadmap moves from security and core settings through custom metadata, master data setup, SME library building, and end-to-end testing.
| Phase | Focus | Where |
| 1 | Security, user access & system settings | Setup / PSC Setup tab |
| 2 | Global value sets & custom metadata | Setup |
| 3 | Administrative master data | Pre Sales Cloud Admin app |
| 4 | SME template libraries & SOW generation | Pre Sales Cloud SME app |
| 5 | User verification & pilot walkthrough | QuoteX |
Phase 1: Security, User Access & System Settings
User Security & Permission Allocation
- System Administrators: Assign the PSC Admin permission set to administrators who need full system configuration access.
- Standard Users: In Setup, locate the PSC Admin permission set, duplicate it, label the new permission set QuoteX User, adjust permissions as needed, and assign it to sales engineers and quoting team members.
- License Assignment: Go to Setup > Installed Packages, find QuoteX, click Manage Licenses, then Add Users to grant package licenses.
Critical Setting: Do NOT use the PSC User (Deprecated) permission set.
Core System Configuration (PSC Setup Tab)
Open the Pre Sales Cloud Admin app and navigate to the PSC Setup tab.
The Product Key field is deprecated as of QuoteX v1.85 and can be left blank.
- Fixed Fee Buffers: Set the Fixed Fee With Buffer percentage (recommended: 20%) to add risk padding to fixed-price deals, and enter a Fixed Fee Cost Uplift percentage for internal resource costs.
- ASM Benchmark: Set the ASM Threshold percentage to establish your organization's target As Sold Margin.
- Data Syncing: In Sync PSR/Quote Request Status, enter comma-separated Quote Request statuses (e.g. In Progress, Quote Approved) that should trigger background summary synchronization.
- Capacity Defaults: Set Default Capacity Per Timeline Frequency (see table below).
- Rate Refresh Utility: Enable Refresh Rate Cards so administrators can push updated rates into active, in-flight quotes when corporate rate cards change.
- ASM & T&E Impact Flags: Configure default settings and user overrides for Cost Impact ASM, T&E Impact ASM, and T&E tab visibility.
| Timeline Frequency | Suggested Default Capacity (hours) |
| Weekly | 40.00 |
| Monthly | 160.00 |
| Quarterly | 480.00 |
| Yearly | 1920.00 |
Phase 2: Global Value Sets & Custom Metadata Configuration
Global Picklists (Setup > Global Value Sets)
Customize the three high-priority global picklists: Phases, Roles, and Resource Level.
Mandatory Setting: Whenever you add new picklist values, check "Add the new picklist values to all Record Types that use this Global Value Set" at the bottom of the page.
- Default Values: Edit one value in Role and Phases (e.g. "Develop" or "Build") and set it as Default. This is required for the spreadsheet copy-paste scoping tool to function.
- Deactivate Defaults: Safely deactivate the generic default picklist values provided during package installation.
Internal Only: Do NOT edit picklists marked "Internal Only" (Complexity, Timeline Frequency, Contract Type).
Custom Metadata Types (Setup > Custom Metadata Types)
- PSC Default Color Configuration: Map your exact Phase picklist names to hex color codes to establish timeline grid color coding.
- PSC Default Test Configuration: Update the active test records for Phase, Role, and Resource Level with active picklist values from your org so deployment test classes run cleanly.
- PSC Timeline Discount Setting: Set the permitted discount model (Resource Level Only, Quote Level Only, or Both) for each contract type.
Phase 3: Administrative Master Data Setup (Pre Sales Cloud Admin App)
Organizational Taxonomy & Capabilities
- PSC Regions: Create region records (e.g. "USA", "India"), check Is Offshore? or Is Nearshore? where applicable, and define regional Default Capacity per Time Frequency hours to override org defaults.
- PSC Practices: Set up parent and child service lines (e.g. "Salesforce", "Data Cloud") to serve as primary filters for rate cards.
- PSC Skills: Add technical capabilities or certifications (e.g. "OmniStudio", "JavaScript") for role precision.
Rate Cards Engine Setup ("The Financial Heart")
- Navigate to PSC Rate Cards and create rate card records for each role and level.
- Assign Suggested Bill Rate, Average Cost Rate, Threshold % (maximum allowable discount), Effective Start/End Dates, Region, and Practice.
Currency Requirement: Every Rate Card must be assigned a currency ISO code. Resources can only be applied to a quote if their rate card currency matches the quote's currency.
Expenses & Auxiliary Resources
- PSC Other Costs: Configure non-labor expenses (software licenses, hardware, risk buffers). Set Is Active, Is Billable?, and Is Risk Cost flags.
- PSC External Resources: Set up client-provided or subcontractor roles (e.g. "Client Project Manager") and set their status to Active.
Quote Highlights Panel (PSC Highlight Items)
- Map up to 6 summary fields for the Quote Summary header panel and up to 2 fields for the Timeline Overview section.
- (Optional) Rename technical field labels using Setup > Translation Workbench > Override (Package: PSCE, Setup Component: Custom Field, Object: Quote).
Phase 4: SME Template Libraries & SOW Generation (Pre Sales Cloud SME App)
Scope Libraries
- Create PSC Scope Libraries (e.g. "Opportunity Management") and set status to Active.
- Add scope items; assign Category (Integration, Data Migration, Change Enablement, Strategy), Multiplier, Complexity (Low, Medium, High), and LOE Hours by role and phase.
Timeline Libraries
- Create PSC Timeline Libraries; set Currency, Frequency (Weekly, Monthly, Quarterly, Yearly), Contract Type (T&M or Fixed Fee), Initial Number of Periods, and status Active.
- Define merged phase blocks, allocate resource roles, set percentage effort allocations, and attach default T&E/Other Costs.
Resourcing Plan Templates & Staffing Rules
- Resourcing Plan Templates: Create template records, mark Active, and configure Decision Rules (e.g. Senior BA effort at 50% of Developer in the Design phase with Include When = Always).
- Staffing Rules (Rate Blends): Create Rate Blends, match parent currency, and add Blend Rate Roles with presumed rates and allocation percentages to calculate weighted average and all-inclusive delivery rates.
Document Templates (SOW Generator)
- Create PSC Document Templates (e.g. "General SOW Template - USD") with defined currency.
- Add PSC Document Sections in chronological order, choosing Paragraph (static HTML legal terms) or Table (dynamic SOQL queries).
SOQL Merge Requirement: All dynamic table SOQL queries must include the {pv0} merge field to bind the specific Quote Id at runtime.
Phase 5: User Verification & Execution Workflow
End-to-End Pilot Walkthrough
- Quote Request (QR): Create a Quote Request linked to a Salesforce Opportunity.
- Create Quote: Click Create Quote and select currency (currency is locked once saved).
- Scoping: Click Scope Size Effort; pull scope items using Add from Scope Library or bulk paste using Add From Spreadsheet.
- Timeline: Add a timeline via Add from Timeline Library or build a new one.
- Margin Check: Verify Net Fees, Total Costs, and ASM in the overview; click Validate Needs to ensure timeline hours align with scoped LOE.
- SOW Export: Select Generate SOW from the quote menu and download the finalized Statement of Work as PDF or Google Doc.
Success: When the pilot quote produces a SOW with correct fees and ASM, your QuoteX implementation is ready for users.
